Responsibilities
HR Operations & Administration
- Serve as the primary point of contact for HR operational matters in Poland
- Ensure accurate and compliant execution of employee lifecycle processes (onboarding, offboarding, employee changes, contract administration)
- Oversee HR document flow: preparation, filing, and archiving of contracts, amendments, and official correspondence
- Maintain accurate employee records in HRIS (HiBob) and personnel files, in line with Polish labor law and internal policies
- Act as a point of contact for employees requiring work permit and relocation-related documentation (e.g., employment certificates, support letters, work invitations)
Payroll & Benefits Coordination
- Prepare and validate monthly payroll input data for timely and error-free submission to payroll specialist/providers
- Administer employee benefits (healthcare, sport cards, lunch reimbursement, etc.)
- Oversee time and attendance tracking, ensuring accuracy, timely approvals, and proper integration with payroll
- Handle employee queries related to compensation and benefits in Poland
Compliance & Labor Law
- Ensure compliance with Polish labor regulations
- Maintain personnel files and audit readiness
- Support internal and external audits
- Monitor changes in local employment law
HR Systems & Process Optimization
- Improve and structure HR processes and policies where needed
- Work with HRIS tools (e.g., HiBob)
- Create HR reports and dashboards
- Collaborate closely with Global HR teams to ensure alignment of processes and data standards
Employee Experience & Stakeholder Management
- Act as a point of contact for employee inquiries related to HR policies, documentation, and leave
- Partner with managers on operational HR topics
- Collaborate with HR Business Partners, Finance, Legal teams and payroll specialist/ payroll providers
Requirements
- 2+ years of experience in HR Operations / HR Administration, ideally in a fast-paced, scaling (scale-up) multinational environment.
- Strong knowledge of Polish labor law and HR compliance standards.
- Experience working with HRIS platforms (e.g., HiBob) and HR documentation processes
- High attention to detail and process orientation
- Strong organizational and communication skills
- English (B2+) and Polish (B2+), both written and verbal
- Russian is a plus
