Job DetailsJob Location: Cannon School - Concord, NC 28027The Camp Cannon Office Manager serves as a key member of the camp leadership team and is responsible for overseeing the administrative and operational functions of the Camp Cannon office. This position ensures the efficient coordination of camp logistics, registration processes, camper documentation, and family communication while supporting Camp Leadership, Unit Coordinators, and Camp Providers.
The Office Manager plays a critical role in maintaining accurate records, managing the camp management system, coordinating administrative workflows, and delivering exceptional customer service to families. This role also provides operational leadership for administrative tasks that support daily camp operations, including attendance tracking, camper logistics, and registration management.
The Office Manager works closely with the Camp Director and Assistant Camp Director while supporting Unit Coordinators and staff to ensure camp operations run smoothly and efficiently.
The Office Manager must be available to work a minimum of 6 weeks of Camp Cannon and attend mandatory training (June 1–4) prior to the beginning of Camp.
Requirements and Responsibilities
Serve as the primary point of contact for camp administrative inquiries, responding to general inquiries in person, via phone, and through email in a professional and timely manner.
Support the Camp Director and Leadership Team in preparing for camp operations, including developing administrative systems, camper documentation processes, and operational procedures.
Provide high-quality customer service to families, campers, staff, and providers at all times.
Use and become fluent in the camp management system to manage camper registrations, enrollment records, cancellations, add-ons, and other updates to camper information.
Track and oversee camper payments, financial transactions, and funds collection in coordination with Camp Leadership.
Communicate with families regarding registration questions, financial matters, and enrollment updates.
Maintain accurate camper records, collect and file all required camper forms, and ensure documentation is complete and accessible.
Prepare reports for Camp Leadership that include enrollment trends, camper information, attendance data, and registration updates.
Conduct continuous follow-up on pending applications and waitlisted campers before and throughout the summer and monitor waitlists during camp operations, and work with families to enroll campers when spots become available.
Prepare and maintain accurate rosters, emergency contact lists, lunch lists, and before/after care lists for upcoming camp weeks.
Ensure Unit Coordinators, Camp Counselors, and Camp Providers have the correct rosters and operational information needed each week.
Assist in preparing seasonal staff and Unit Coordinators with administrative and logistical processes.
Support recruitment and hiring processes for seasonal staff when requested by Camp Leadership.
Maintain organization and operational readiness of the camp office, ensuring office spaces remain organized, professional, and functional.
Support program logistics for meetings, interviews, camp events, and administrative functions.
Record absent campers and contact families when campers are absent.
Assist Unit Coordinators and Camp Leadership in monitoring camper attendance and registrations.
Ensure Camp Providers know their assigned classrooms and program locations.
Support operational logistics such as preparing signage, rosters, and informational materials for shared spaces.
Oversee daily attendance records.
Communicate effectively with parents/guardians/camp staff/camp providers/campers.
Maintain accurate documentation and camp records in accordance with Camp Cannon policies.
Monitor overall camp program quality and safety standards and address and report concerns and solutions to Camp Leadership.
Serve as a professional ambassador and role model for Camp Cannon and Cannon School.
Ability to work an 8 or 9 hour (with a break) shift
QualificationsQualifications
College degree preferred or equivalent experience in administration, youth programs, education, or camps.
Experience in administrative operations, customer service, or program coordination strongly preferred.
Experience working with camp management systems or registration software preferred.
Strong communication and interpersonal skills

Ability to remain calm and responsive in a dynamic situation
Physical Requirements
Ability to stand, walk, and supervise outdoors and indoors for extended periods.
Ability to assist with setup, transitions, and equipment movement as needed.
Availability for the full camp day, including extended day coverage as assigned.
Ability to get to and from work each day reliably.
