Position title: Business Support Executive

We are looking for a proactive and detail-oriented Business Support Executive to manage and streamline daily office operations, facilities, and administrative processes to ensure smooth running of the IEL office.
Key Responsibilities
Office Operations & Facilities
- Manage office licenses, vendor coordination, asset tracking, and inventory.
- Manage mail distribution, and office supplies.
- Oversee office safety management.
- Oversee facility-related contracts to ensure service quality and compliance.
- Manage lease‑related communications, building and maintenance matters.
Administrative & Secretariat Support
- Support coordination and scheduling of board/business meetings
- Support recruitment job postings, interviews scheduling, and onboarding briefings.
- Support audits, prepare required documents, and follow up on actions.
- Assist with regular finance transactions/claims.
- Handle issuance and return of laptops, passes, keys, and access rights.
- Organize welfare events and activities
Project & Procurement Support
- Work with Project Managers and Finance on documentation, billing, expenditure tracking, and job closures.
- Manage procurement processes including Purchase Order (PO) creation, vendor liaison, invoice processing, and credit card reconciliation.
Requirements
- Diploma in any discipline. Training in Business Administration is a plus.
- 2–4 years’ experience in office administration, facilities, or operations.
- Strong organisational, communication, and problem‑solving skills.
- Proficient in Microsoft Office. Having SAP and/or procurement/finance system experience is a plus.
