About the role
A dynamic Executive Assistant role joining a progressive and service-focused Corporate Services team. This role provides critical administrative support to the Business, Board, Committees, Leadership, and our People.
You’ll work closely with and report to the Chief Corporate Services Officer in ensuring and contributing to effective administrative practices, clear communication, and project support.
Key accountabilities:
- Provide Executive Assistance and Board Secretariat support. Preparing and distributing schedules, preparing and distributing agendas, coordination of briefing papers for meetings, taking minutes, and follow through of action items.
- Record management, electronic filing and general administration support.
- Undertaking sensitive and confidential liaison with senior staff, board, industry and commercial partners of GRNSW and the Government.
- Arranging travel and accommodation requirements as needed.
- Coordinate needs related to staff amenities and office facilities.
- Undertake ‘ad-hoc’ reports and ‘special’ projects as required.
- Respond to enquiries, identify needs, communicate services, and escalate issues with the Chief Corporate Services Officer.
- Provide administrative support for; Corporate Communications, CEO documentation, Board matters and Corporate Services.
- Managing competing priorities and providing consistent levels of support, given high workloads, short deadlines and the need to maintain confidentiality and act with discretion
- Maintain knowledge and understanding of relevant organisational policies and procedures.
- Maintain high standards of confidentiality and neutrality at all times.

About You!
- Strong organisational and administrative skills, with the ability to manage multiple priorities and deadlines.
- At least 1-2 years’ experience in administration and/or project coordination.
- Excellent interpersonal and communication skills, with the ability to build effective relationships and collaborate with a diverse range of stakeholders.
- Solid proficiency in Microsoft Office and confidence using project management software and tools.
- Experience supporting the preparation and review of project scopes, budgets and schedules, and contributing to business cases and project documentation.
- Every 8 weeks - ability to attend committee and Board meetings till 7pm.
